Privacy notice

1. Who we are

Medi Response Holdings PTY LTD ("we", "us") is the responsible party for the personal information collected through this careers portal, as defined in the Protection of Personal Information Act, 2013 (POPIA).

2. What we collect

When you apply for a position or join our talent pool, we collect:

Identity details — your name, identity or passport number, date of birth, nationality and, optionally, your gender and population group.
Contact details — email address, telephone numbers and physical address.
Professional details — qualifications, professional registration (HPCSA or SANC), driver's licence and PrDP details, employment history, experience and availability.
Documents you attach, such as your CV, identity document, registration card, driver's licence and qualification certificates.
Technical information — the IP address and browser used to submit the form, which we keep as a record of your consent and to protect the portal from abuse.

Your identity number and population group are special categories of information. We collect them only because they are needed to verify your identity, confirm your professional registration and meet our employment-equity reporting obligations. Providing your population group is always optional.

3. Why we use it

To assess your suitability for the position you applied for.
To contact you about your application and, if you consented, about other suitable vacancies.
To verify your qualifications, professional registration and references.
To meet our legal, regulatory and employment-equity reporting obligations.
To keep records of our recruitment decisions.

We do not use your information for automated decision-making, and we never sell it.

4. Who sees it

Your application is visible to our recruitment team and to the managers responsible for the role you applied for. We may share information with third parties only where it is necessary, including:

professional bodies (HPCSA, SANC) to confirm your registration status;
background, criminal and credit screening providers, where the role requires it and with your consent;
the referees you have named;
our hosting and email providers, who process data on our instruction only.

5. How long we keep it

We keep your information for 60 months from your last activity on the portal, so we can consider you for future roles. After that it is deleted or anonymised, unless we are required by law to keep it longer, or you have been appointed — in which case it moves to your employee file.

You can ask us to delete it sooner at any time.

6. How we protect it

The portal is served over an encrypted (HTTPS) connection.
Uploaded documents are stored outside the public web folder with randomised filenames, and can only be opened by signed-in members of our recruitment team.
Administrator accounts require individual passwords and are subject to login throttling.
Access is limited to the people who need it to do their jobs.

7. Your rights

Under POPIA you may:

ask what personal information we hold about you;
ask us to correct or update information that is wrong or incomplete;
ask us to delete your information or remove you from the talent pool;
withdraw your consent at any time (this will end your application);
object to how we process your information;
lodge a complaint with the Information Regulator of South Africa.

To exercise any of these rights, email legal@mediresponse.co with your name and reference number. We respond within 30 days.

8. Cookies

This portal sets a single session cookie so that forms, security tokens and administrator sign-in work. It contains no advertising or tracking identifiers and expires when you close your browser. If reCAPTCHA is enabled on our forms, Google may set its own cookies to tell people from bots.

9. Changes

We may update this notice from time to time. The version published here is always the current one.
